Description

  • Roster Management – Develop and Maintain Rosters: Implement and manage various fixed roster patterns for different departments (Ramp Day/Night Shift, Front of House, Station Control), understanding variations in shift lengths (minimum 9-12 hours).
  • Operational Coverage: Ensure all shifts meet the manpower requirements set by the Operations Manager, General Manager, and Ramp Manager, prioritizing operational needs.
  • Daily Manpower Planning: Update the manpower plan daily with up-to-date figures, ensuring all shift requirements are met at least 4 weeks in advance.
  • Shift Adjustments: Proactively adjust start and end times based on flight schedules, seasonal peaks (e.g., summer, bank holidays, de-icing season), and other operational demands.
  • Compliance: Ensure rostering practices comply with company guidelines, employee contracts, and relevant statutory requirements.
  • Annual Leave Allocation: Manage the allocation of statutory annual leave (20 days plus 10 public holidays for full-time staff), ensuring proportionate allocation across all staff members to avoid man-power shortfalls or excesses.
  • Target Adherence: Ensure annual leave approvals remain within the pre-set monthly targets, reviewing and approving applications on a first-come, first-served basis via “Find My Shift.”
  • Restrictions Management: Monitor and enforce specific annual leave restrictions for key roles (e.g., Team Leaders, RCOs, PSMs) to maintain critical coverage.
  • Communication: Advise staff on annual leave application processes and issue reminders as necessary to encourage timely leave uptake.
  • Contingency Planning: Assist in managing situations requiring voluntary unpaid leave during quiet periods and understand the company’s right to adjust or cancel annual leave as a last resort in consultation with staff.
  • Overtime Management
  • Overtime Allocation: Publish weekly overtime requirements on “Find My Shift” as directed by management.
  • Monitoring & Approval: Input approved overtime onto staff rosters and daily crew sheets. Monitor additional hours worked by staff in conjunction with the management team and decline overtime requests for staff with high working hours, ensuring compliance with internal policies and working time regulations.
  • Approval Process: Obtain necessary approvals from DUB management for any overtime requirements beyond the standard schedule, particularly during periods of disruption.
  • Shift Swaps
  • Process Shift Swaps: Facilitate and approve shift swap requests (limited to 10 per month for Front of House staff), ensuring requests are made at least 7 days in advance via “Find My Shift.”
  • Skillset Verification: Verify that staff participating in swaps possess the same level of skills and enforce bans for non-compliance.
  • Emergency Swaps: Process emergency shift swaps as advised by RCOs or PSMs, updating “Find My Shift” accordingly on the next working day.
  • Employee Onboarding & Crew Changes
  • New Joiner Rostering: Create “Find My Shift” accounts and assign initial rosters for new joiners as requested by HR. Advise new employees on how to access their rosters.
  • Crew & Roster Changes: Manage staff movements between crews or changes in roster patterns, updating systems and notifying relevant managers of the changes and effective dates.

Requirements

  • Must be able to provide a 5 year background check and obtain an airport id.
  • Experience in group handling is a plus.
  • Proven experience in a previous rostering or administrative position
  • PC literacy (MS Office/Excel, in particular)
  • Excellent organizational skills
  • Strong communications skills
  • Friendly and helpful attitude towards the entire team
